Gloucestershire Wildlife Trust photography competition terms and conditions
These terms and conditions govern the Gloucestershire Wildlife Trust (GWT) photography competition. The competition organisers are GWT. By accepting the terms and conditions of the competition and subsequently submitting your photographs, you will be entering into an agreement with the organisers.


 
  1. Competition entry
By entering the competition, you agree to the provisions of these terms and conditions and to comply fully with them. The competition opens on 2 April and closes on 28 July at midnight. Submissions must be received by the closing date.

 
  1. Eligibility
Only photos taken in Gloucestershire from the past year can be entered to avoid duplicate submissions. Entrants need to state where and when each photograph was taken.
This competition is open to residents of the UK, Channel Islands, Isle of Man and Republic of Ireland, except for employees of GWT, their families or anyone else associated with this competition.
This competition is an amateur photography competition and is not open to professional photographers (where photography is a primary occupation).
All images submitted must be the work of the individual submitting them and must not have been published elsewhere or have won a prize in any other photographic competition. It is the responsibility of each entrant to ensure that any images they submit have been taken with the permission of the subject and do not infringe the copyright of any third party or any laws. Entrants must warrant that the photograph they are submitting is their own work and that they own the copyright for it.
Images can contain native or migrant wild species. Non-native species which permanently live in the UK are also allowed.
Digital adjustments to images are acceptable, the way in which the photograph is enhanced or edited will be considered during the judging process. However, it is important that the context and the content are not changed beyond recognition of the original image, and the ‘spirit’ of the image is maintained.
If you are under the age of 18 you must have permission to enter from your parent or guardian. By submitting an entry for the competition, your parent or guardian is deemed to have given such consent and to agree to the use of the entry as described in these terms and conditions.
Those in doubt as to their eligibility must contact the organisers for clarification before entering. The organiser’s decision on eligibility is final.
 
  1. What to enter
All images must be taken in Gloucestershire.
Photographs must be digitally submitted at a resolution of 300 pixels per inch or DPI at A4 (i.e., image dimensions of at least 3508 x 2480 pixels) in PNG or JPEG file format.
Photographs must not have won an award in any other photographic competition at the time of entry or by the time the winning images are announced.
The welfare of the wildlife subject is more important than the photograph itself. Submissions that appear to have been created in a way that breaches wildlife law or puts wildlife at risk are not eligible and will be disqualified.


 
  1. How to enter
The competition opens on 2 April and closes on 28 July. Applicants may enter a maximum of three images.
    • Entries must be submitted digitally via the competition website except in circumstances where this isn’t possible. We are unable to accept postal entries.
    • Entrants are required to provide their full name, email address and phone number. We request this data for the purpose of the administration of the photography competition. This data will be processed and stored in a secure manner and will only be kept for the duration of the photography competition. This data will then be destroyed in a secure manner. We will not use this data for any other purposes.
    • Entrants need to state where and when each photograph was taken.
By submitting images to the GWT photography competition, each entrant confirms and warrants that:
    • They are the sole author of each entry and that it is their original work.
    • They own the copyright and any other intellectual property rights of each image.
    • They have the permission of anyone pictured in the image (or, where the image shows any persons under 18, the consent of their parent/guardian) for the usage rights required by GWT and will indemnify GWT against any claims made by any third parties in respect of such infringement.
    • They have not licensed or disposed of any rights in the image that would conflict with uses to be made by GWT.
    • They have received any necessary permissions from the owner(s) of objects including buildings included in submitted images for the usage rights required by GWT and will indemnify GWT against any claims made by any third parties in respect of such infringement.
 
  1. Judging
A panel of judges will select images based upon how well the photos reflect the category, technical skill, originality and creativity. Judging will be anonymous.
Digital adjustments are acceptable; however, the way in which any digital enhancement or editing has been used will be taken into account when judging the entry. Cropping is permitted.
The decision of the organisers is final, and no correspondence will be entered into concerning the competition’s judging and organisation.


 
  1. Announcement of winners
Judging will take place in early August.
The winners will be contacted via telephone or by the email used for submissions by the end of August and GWT will endeavour to contact all entrants about the outcome of their entry before the competition winners are announced though this may not be possible.


 
  1. Use of images
By entering the competition, you grant GWT a non-exclusive, irrevocable licence to reproduce, enlarge, publish or exhibit, on any media, the images for any purpose connected with GWT. This will include but may not be limited to:
    • On the GWT website and social media.
    • In future editions of our members’ magazine, Wildlife.
    • All submitted entries will be considered for use in GWT publications and online.
    • In a calendar.
    • In conjunction with sponsors to promote this photography competition.
    • For use in press releases to be distributed to national, regional, local or specialist press.
    • In external print and digital press to publicise the competition and/or the work of GWT.
    • In any other GWT promotional materials e.g., information leaflets or posters.
In addition to these uses, the organisers may also use any winning images on merchandise including, but not limited to, greeting cards, prints and posters, for sale at our retail outlets and on our shop website. Any funds raised from these sales will be used by GWT to further its charitable aims.
Copyright will remain with the photographer.
The organisers will make every reasonable effort to ensure that name credits are given to any photograph published in any medium for any purpose.


 
  1. Copyright and permissions
By submitting images for the GWT photography competition, each entrant confirms that:
    • All images they submit are their own work and they own the copyright for them.
    • None of the images submitted have been published elsewhere or have won a prize in any other photography competition.
    • All images they submit have been taken with the permission of the subject and do not infringe the copyright of any third party or any laws.
 
    • They received permission from any human subjects which are included in the images submitted.
Copyright for all images submitted for this competition remains with the respective entrants. However, in consideration of their providing the competition, each entrant grants a worldwide, irrevocable, perpetual licence to GWT to feature any or all of the submitted images in any of their publications, their websites and/or in any promotional material connected to this competition.
GWT will make every reasonable effort to ensure that name credits of entrants are reproduced on photos published in online and printed publications.
The photographer will be contacted to discuss other usages or permissions which fall outside of the remit described on an ad hoc basis. GWT will try to ensure entrants are informed of where their images are used but cannot guarantee it in every case.


 
  1. Data protection
We will keep your details on our secure database to enable us to administrate the competition, use your images (see usage rights) and contact you with news directly relating to this competition (e.g., the outcome and the launch of the calendar).

  1. Policies
GWT reserves the right to remove or refuse any entries to the competition for any reason.
Should any entries fall below the standard required by the competition organisers and the judges, then the organisers reserve the right not to award prizes.
All information detailing how to enter this competition forms part of these terms and conditions. It is a condition of entry that all rules are accepted as final, and that the competitor agrees to abide by these rules. Submission of an entry will be taken to mean acceptance of these terms and conditions.
If entries are found to have evidence of undue disturbance or stress inflicted on wildlife in the process of taking the photograph, the entrant will be disqualified. Please avoid damaging habitat or disturbing wildlife in search of the perfect shot.
GWT takes no responsibility for loss, damage or injury incurred as a result of participation (and/or) involvement in the competition or subsequent publicity and awards.
Events may occur that render the competition itself or the awarding of the prizes impossible due to reasons beyond the control of the Promoter and accordingly the Promoter may at its absolute discretion vary or amend the promotion and the entrant agrees that no liability shall attach to the Promoter as a result thereof.
GWT are responsible for the first part of the promotion, which is the publication and adjudication of the competition.
English law applies and the exclusive jurisdiction of the English Courts shall prevail. The organisers reserve the right to modify these terms and conditions without notice.
