Gloucestershire Wildlife Trust poetry competition terms and conditions

These terms and conditions govern the Gloucestershire Wildlife Trust (GWT) poetry competition 2023. The competition organisers are the GWT. By accepting the terms and conditions of the competition and subsequently submitting your photographs, you will be entering into an agreement with the organisers.

1 Competition entry
By entering the competition, you agree to the provisions of these terms and conditions and to comply fully with them. The competition opens on 6 April and closes on 6 July at midnight. Submissions must be received by the closing date.

2 Eligibility
This competition is open to residents of the UK, Channel Islands, Isle of Man and Republic of Ireland, excluding employees of GWT, their families or anyone else associated with this competition.

All poems submitted must be the work of the individual submitting them and must not have been published elsewhere or have won a prize in any other photographic competition. It is the responsibility of each entrant to ensure that any poems they submit do not infringe the copyright of any third party or any laws. Entrants must warrant that the poemthey are submitting is their own work and that they own the copyright for it.

If you are under the age of 18 you must have permission to enter from your parent or guardian. By submitting an entry for the competition, your parent or guardian is deemed to have given such consent and to agree to the use of the entry as described in these terms and conditions.

Those in doubt as to their eligibility must contact the organisers for clarification before entering. The organiser’s decision on eligibility is final.


3 What to enter

Poems must be digitally submitted using the entry form on the GWt website. They must be in either .pdf or .docx file format.

Poems must not have won an award in any other competition at the time of entry or by the time the winning poems are announced.


4 How to enter

The competition opens on 6 April and closes on 6 July.
Applicants may enter a maximum of three poems. No poem may exceed 50 lines.
  • Entries must be submitted digitally via the competition website except in circumstances where this isn’t possible. We are unable to accept postal entries.
  • Entrants are required to provide their full name and email address. Phone numbers are optional. We request this data for the purpose of the administration of the photography competition. This data will be processed and stored in a secure manner and will only be kept for the duration of the photography competition. This data will then be destroyed in a secure manner. We will not use this data for any other purposes, unless consent is given using the 'Keep in touch' option on the entry form.
By submitting work to the GWT poetry competition, each entrant confirms and warrants that:
  • They are the sole author of each entry and that it is their original work.
  • They own the copyright and any other intellectual property rights of each poem.
  • They have not licensed or disposed of any rights in the image that would conflict with uses to be made by GWT.

5 Judging
A panel of judges will select poems based upon how well the works reflect the category, technical skill, originality and creativity. The Head Judges will then choose the winning poems  in each category from this shortlist. 

The decision of the organisers is final, and no correspondence will be entered into concerning the competition’s judging and organisation.

6 Announcement of winners
Judging will take place in early July.

The winners will be contacted via telephone or by the email used for submissions by the end of July and GWT will endeavour to contact all entrants about the outcome of their entry before the competition winners are announced though this may not be possible.

7 Use of poems

By entering the competition, you grant GWT a non-exclusive, irrevocable licence to reproduce, enlarge, publish or exhibit, on any media, the poems for any purpose connected with GWT. This will include but may not be limited to:
  • On the GWT website and social media.
  • In future editions of our members’ magazine, Wildlife.
  • All submitted entries will be considered for use in GWT publications and online.
  • In a calendar.
  • In conjunction with sponsors to promote this competition.
  • For use in press releases to be distributed to national, regional, local or specialist press.
  • In external print and digital press to publicise the competition and/or the work of GWT.
  • In any other GWT promotional materials e.g., information leaflets or posters.
  • In an anthology collection for sale at our retail outlets and on our shop website.
Any funds raised from these sales will be used by GWt to further its charitable aims. Reasonable notice will be given by GWT to any poet whose work is selected for additional usage informing them of the intended use. Copyright will remain with the poet in these circumstances.

The organisers will make every reasonable effort to ensure that name credits are given to any photograph published in any medium for any purpose.

8 Copyright and permissions
By submitting images for the GWT poetry competition, each entrant confirms that:
  • All poems they submit are their own work and they own the copyright for them.
  • None of the poems submitted have been published elsewhere or have won a prize in any other competition.
Copyright for all poems submitted for this competition remains with the respective entrants. However, in consideration of their providing the competition, each entrant grants a worldwide, irrevocable, perpetual licence to GWT to feature any or all of the submitted poems in any of their publications, their websites and/or in any promotional material connected to this competition.

GWT will make every reasonable effort to ensure that name credits of entrants are reproduced on photos published in online and printed publications.

The poet will be contacted to discuss other usages or permissions which fall outside of the remit described on an ad hoc basis. GWT will try to ensure entrants are informed of where their works are used but cannot guarantee it in every case.

9 Data protection
We will keep your details on our secure database to enable us to administrate the competition, use your images (see usage rights) and contact you with news directly relating to this competition (e.g., the outcome and the launch of the anthology).

10 Policies

GWT reserves the right to remove or refuse any entries to the competition for any reason.

Should any entries fall below the standard required by the competition organisers and the judges, then the organisers reserve the right not to award prizes.

All information detailing how to enter this competition forms part of these terms and conditions. It is a condition of entry that all rules are accepted as final, and that the competitor agrees to abide by these rules. Submission of an entry will be taken to mean acceptance of these terms and conditions.

GWT takes no responsibility for loss, damage or injury incurred as a result of participation (and/or) involvement in the competition or subsequent publicity and awards.

Events may occur that render the competition itself or the awarding of the prizes impossible due to reasons beyond the control of the Promoter and accordingly the Promoter may at its absolute discretion vary or amend the promotion and the entrant agrees that no liability shall attach to the Promoter as a result thereof.

GWT are responsible for the first part of the promotion, which is the publication and adjudication of the competition.
English law applies and the exclusive jurisdiction of the English Courts shall prevail.

The organisers reserve the right to modify these terms and conditions without notice.
